πΌ Job Listings Manager
Learn how to create, manage, and publish job listings on your municipal website β step by step.
v2.2 User Guide1 Your Dashboard
When you go to Manage Jobs (or visit /manage-jobs/), you'll see the admin dashboard. Here's what everything does.
Job Listings Manager
Active Β· π Administration Β· πΌ Full-Time Β· π° $31/hr Β· π Email
π What you see
Header buttons β "Add Manually" opens the full form. "Paste Job" lets you paste raw text from another source and auto-parse it. "Applications" shows submitted applications.
Filters β narrow by status (Active/Draft/Closed) or department.
Reorder arrows β β²βΌ on each row controls the display order on your public page.
π‘ Tip
Jobs with "Draft" status won't appear on the public page. Use this to prepare listings before publishing.
2 Add a Job Manually
Click β Add Manually to open the job form. It has 5 tabs β let's walk through each one.
π Basic Info tab
Title β the job title as it will appear publicly. Be specific ("Public Works Laborer" not just "Laborer").
Department β groups jobs together and powers the filter on the public page.
Employment Type β Full-Time, Part-Time, On-Call, PRN/As Needed, Temporary, or Contract.
Pay Rate β free text. Use "$31/hour", "$45,000-$55,000/year", or "DOE" (depends on experience).
Description β 2-3 sentence overview shown at the top of the listing.
3 Paste Import
Have a job listing from another source? Click π Paste Job and paste the raw text. The system auto-parses it into structured fields.
Paste the raw job listing text below. The system will automatically parse it.
π€ How it works
The parser reads the text and extracts the title, department, pay rate, description, responsibilities, qualifications, and benefits into the correct fields. You can then review and edit before publishing.
β‘ Paste Multiple
Use π Paste Multiple to bulk-import several job listings at once. Separate each job with a blank line or "---". The system will create one listing per block.
4 Badges & Content
The Badges and Content tabs let you highlight key info and build out the full listing.
π·οΈ Badges tab
Add colored badges that appear prominently on the listing. Use them for things like:
Quick Add presets create common badges with one click. You can also create custom badges with any label and color.
π Content tab
Build out the details with repeater fields β add as many items as you need, reorder them, or remove them:
π Responsibilities β what the job involves day-to-day
β Qualifications β required and preferred skills/experience
π Benefits β health insurance, pension, PTO, etc.
π Additional Sections β custom sections like "Rate of Pay Details", "Education & Experience", or "Working Conditions"
- Manage daily operations
- Plan and coordinate programs
- Supervise part-time staff
- Bachelor's degree preferred
- 2+ years experience
- Valid driver's license
π‘ Sections collapse by default
Visitors click to expand each section. This keeps long listings scannable and prevents overwhelming the reader.
5 How to Apply Settings
The How to Apply tab controls how candidates submit their applications. You have 4 options.
1. Online Application Form (built-in)
Candidates fill out a form directly on the listing β name, email, phone, and a cover letter message. Submissions appear in your Applications dashboard. Zero setup needed.
2. External URL
Link to your existing careers page, Indeed listing, or government job portal. The "Apply Now" button opens the URL in a new tab.
3. Email Application
Shows the email address in the "How to Apply" box with a mailto link. Candidates click to open their email client with the subject pre-filled.
4. Mail / In-Person
Displays a mailing address for paper applications. Great for positions that require hand-delivered materials.
Submit a letter of interest and resume to the Village Administrator.
π‘ Mix and match
You can set the method to "Email" but also add custom instructions and a deadline. The "How to Apply" box shows all the info you provide, regardless of the method selected.
6 The Public View
Visitors see your jobs at /job-openings/. Only Active jobs appear. Here's what a complete listing looks like.
Community / Senior Center Coordinator
The Village of New Baden is seeking a dedicated Community/Senior Center Coordinator to manage daily operationsβ¦
π± What visitors can do
Read the overview β title, badges, meta bar, and description are always visible.
Expand sections β click Responsibilities, Qualifications, or Benefits to expand/collapse each one.
Apply β the "How to Apply" box shows at the bottom with your chosen method, contact info, and deadline.

7 Managing Applications
When candidates apply through the built-in form, their submissions appear in two places.
π¨ Frontend: Applications button
Click π¨ Applications on the Manage Jobs page. You'll see a modal with all submissions β name, email, phone, message, and which job they applied for.
